Annual General Meeting of SWWV

On Zoom

Date: Thursday 22 August 2024
Time: 7:30 pm
 - 8:30 pm
Price: Free

Dear Members

I hope you are making the most of your membership of the Society of Women Writers Victoria and participating in as many activities as your time and interests allow.

This is to remind you that the Annual General Meeting of SWWV will take place via Zoom on Thursday evening, 22 August 2024, 7:00-8:30 pm.

Would you like to be more involved, with an opportunity to mould how the Society responds to members’ needs in 2025? Then why not consider nominating for the Committee. It has eight members and meets online in the first week of every month (except January). All those things that ‘just happen’, happen because someone on your Committee has thought about, planned, marshalled resources and then mounted an activity for the benefit of all members. You could join a group of dedicated women with a range of skills who share your passion for expressing yourself through the written word.

During a planning day in April, the Committee endorsed 5 main areas of activity for the Society:

·      Membership Services (annual program of regular activities for members, Newsletter, Sparx, online festival and various Awards, conduct periodic membership survey)

·      Engagement (website, communications and promotion, recruitment)

·      Membership intake (managing membership data, receiving membership fees, developing policy on conditions of membership and rates)

·      Finance and Audit (develop annual budget, provide monthly reports to Committee, manage bank accounts, work with auditor for report to AGM).

·      Governance (ensuring compliance with legislation, policy and procedures for efficient operation of Committee, risk assessment, planning, continue work on draft Society manual prepared by immediate past President).

Some work is under way to progress this outline, but endorsement of the approach will be a task for the incoming Committee for 2024/25.

Because the Committee’s annual program is broad and we are all volunteers, some activities are brought into being through the use of Subcommittees. For example, each of the areas noted above will need more input than the Committee itself can provide. This might be an alternative way for you to be involved. So there is plenty of scope for you to help make our Society even better. To give you some idea of the commitment required, office holders would routinely give many hours of time each week to SWWV activities. So if you are not in a position to carve out that much time, what about letting us know about areas where you could chip in? Many member events throughout the year have more discrete timelines, so you might be able to volunteer a few hours over a few weeks to help with the production of Sparx, say, or to work with others on putting together our festival program.

Other opportunities include Membership Coordinator, Writing Groups Coordinator, Website Manager, Book Chat Host, and assistant positions for the office bearers as from time to time required by workloads.

Here is the nomination form. When you click the link, it will download, so check your downloads folder, it'll be in there.

This is YOUR Society. Make it work for you.

With very best wishes to you in your creative endeavours.

Lindsay Ferguson
